Position Summary
Our organization is embarking on a critical three-year pension administration system transformation project, and we are seeking a highly organized and proactive Technical Writer to support the team. This role is a temporary one-year contract position within our Communications Team, reporting to the VP of Communications. The Technical Writer will create, develop, review and maintain high-quality technical documentation, publications and presentations. They will collaborate closely with the Pension Administration team and other stakeholders to produce, evaluate, and enhance member and staff documentation for the new Pension Administration System. Additionally, this role involves updating existing material and creating new user manuals, guides, system documentation, and other technical materials while prioritizing clarity, usability, and industry best practices.
The position requires exceptional communication skills, keen attention to detail, and editing and proofreading skills.
What will I do?
Responsibilities include, but not limited to, the following:
- Diligently review, update, and develop member and staff documentation to support the Pension Administration System, collaborating closely with other departments to understand project requirements.
- Gather information from subject-matter experts to craft, organize, and write procedure manuals, technical specifications, and process documentation that standardize and refine member communications, ensuring only revised, up-to-date forms are integrated into the new system.
- Collaborate with subject-matter experts to identify documentation repositories, revise and edit materials, and determine optimal solutions for data compilation and centralized storage.
- Evaluate current content and devise innovative methods for improving all member form letters, ensuring they are clear, consistent, and compliant with regulations while eliminating outdated or overly complex forms.
- Develop and maintain internal user guides documenting business processes and system functionalities to aid employee adoption.
- Apply best practices in technical writing, form design, and user experience to enhance readability and usability.
- Work with the creative agency and communications team to create templates and style guides that ensure consistent formatting and tone.
- Align user guides with training programs and onboarding initiatives to facilitate a smooth transition to the new system.
- Leverage knowledge of variable content formatting to develop dynamic forms and communications that adjust based on member status (e.g., single vs. married, age, service length).
- Perform other duties as assigned.
What skills & qualifications do I require to be successful?
Education
- High-school diploma or post-secondary education, such as Communications, Business, Journalism, or related field or equivalent work experience.
- Commitment to continuous learning in communications and staying updated on industry trends.
Experience & Skills
- Over 3 years of experience in technical writing and documentation, preferably within financial services, pensions, or a related field.
- Strong understanding of form design, information flow, and user experience principles.
- Proven ability to write documentation and procedure manuals for diverse audiences, effectively translating complex pension and financial concepts into clear, concise, and accessible language.
- Experience in large-scale system implementations or documentation projects.
- Familiarity with pension administration, regulatory requirements, and industry best practices is a significant asset.
- Excellent writing, editing, and proofreading skills, with a sharp attention to detail.
- Proficient in Microsoft Suite (Excel, Word, PowerPoint, Teams), Adobe, MS Project, or similar office tools.
