Position Summary
We are seeking a detailed oriented Pension Benefits Assistant to join the Pension Administration team! If you are a great communicator both written and verbal, and have previous experience in pension administration, legal or general administration, we want to hear from you. Your primary responsibilities would include, providing administrative support to the pension team and customer service support to the plan’s members and pensioners by email, phone or in-person.
What will I do?
Responsibilities include, but are not limited to, the following:
- Providing general office administrative support by scanning and uploading various file types to the enterprise content management system (e.g. Laserfiche).
- Inputting member beneficiary information into the pension administration system (e.g. CPAS).
- Performing data maintenance and updates to member and pensioner records.
- Assisting with maintaining deferred pension files.
- Supporting the pension administration estates team, with the preparation of follow up correspondence for outstanding estate documentation.
- Answering member and pensioner telephone inquiries.
- Reviewing and responding to inquiries from plan members and pensioners received by email through the general mailbox.
- Preparing new member packages, tracking and rerouting returned member and pensioner mail.
- Assist with correspondence related to pre-and post-retirement death cases, and family law related applications.
- Cross-training opportunities to prepare lump sum payments, correspondence and documents for terminated employees, and pre-and post-retirement death cases, and family law related applications.
- Perform other duties as assigned.
What will help me be successful?
Skills & Qualifications
- High-school diploma or post-secondary education or equivalent work experience in pension administration.
- 2+ years of experience working in administration with strong emphasis on customer service.
- Working experience in the pension industry and familiarity with the Ontario Pension Benefits Act is an asset.
- Experience providing customer service responses to telephone and email inquiries.
- Strong attention to detail and the ability to organize daily tasks is essential.
- Basic understanding of math and excel foundations to utilize the calculations or categorizing of data functions.
- Working experience using SAP and/or SuccessFactors is a strong asset.
- Proficiency with Microsoft Suites (i.e. Excel, Word, PowerPoint, Teams) or similar office tools.

- Excellent communication skills (written and verbal), to provide clear and concise responses to inquiries from members regarding plan provisions.
- Demonstrate professionalism, integrity and ability to act with discretion to maintain confidentiality.
- Ability to work well under pressure and meet deadlines, without compromising quality or accuracy.
- Ability to problem solve, ask questions and escalate issues where necessary.
- Works well independently and in a team environment.
